About the Job:
The mission of the AI Automation Associate is to serve as the foundational expert in setting up and configuring AI Employees on the Vendasta platform. This role focuses on the successful deployment of AI solutions, developing supportive automations, and engaging directly with clients to understand their initial needs. By ensuring a smooth and effective setup process, the Associate plays a crucial part in helping clients leverage AI to start achieving their business goals from day one.
Your Impact:
As an AI Automation Associate, you’ll work with cross-functional fulfillment and service teams to:
Client-Facing & Internal Support
- Participate in customer calls to understand their needs and provide basic training on the configured AI Employees and automations.
- Document setup procedures and best practices to ensure consistency and quality.
- Execute predefined automation tasks using tools like Zapier, Make, and ChatGPT-based workflows.
- Assist in fulfilling listing creation and review responses for small- and medium-sized businesses (SMBs).
- Log and track task completion using Vendasta’s task management platform (e.g., Task Manager).
- Participate in onboarding and training sessions to understand automation workflows and tool usage.
- Provide professional support to partners and their clients under the guidance of senior team members.
- Report any inefficiencies or errors in automation to the team for continuous improvement.
AI-Enabled Contributions
- Configure and deploy AI Employees based on defined parameters.
- Develop basic automations to support AI Employee workflows.
- Troubleshoot and resolve issues related to AI Employee setup.
- Follow team-designed AI workflows to complete tasks more efficiently.
- Execute AI-generated prompts and provide feedback on outcomes to help improve workflows.
- Embrace change and participate in team-led AI upskilling sessions.
What you bring to the table:
- 1+ year of experience in a technical, digital, or support-focused role
- Bachelor's degree in Business Administration (Commerce), Marketing, Communications, or a related field is preferred
- Foundational understanding of automation principles, APIs, and third-party platform integrations (e.g., social media, messaging apps)
- Familiarity with digital marketing concepts for local businesses, including social media platforms (Facebook, Instagram), SEO, and online listings (Google, Yelp, Bing)
- Exposure to or interest in automation tools (e.g., Zapier, Make) and AI applications (e.g., ChatGPT, prompt engineering)
- Experience with productivity and workflow management tools (e.g., spreadsheets, task trackers)
- Familiarity with the Vendasta platform is considered an asset
- Strong problem-solving abilities with a talent for troubleshooting technical issues and identifying root causes
- Ability to apply structured workflows, QA checklists, and standard operating procedures to ensure consistent, high-quality outputs
- Detail-oriented with excellent organizational and time management skills
- Excellent written and verbal communication skills, including the ability to simplify technical concepts for non-technical users
- Strong interpersonal skills for engaging in client-facing calls, cross-functional collaboration, and partner interactions
- Skilled in editing, summarizing, and documenting processes for clarity and reusability
- Uses AI tools with guidance and follows established AI workflows and prompt templates
- Participates in team upskilling initiatives related to AI adoption and workflow experimentation
- Demonstrates a growth mindset—open to feedback, coaching, and iteration to improve skills and processes
- Eager to continuously learn and adapt to new tools and emerging technologies, especially AI-driven solutions.
