Infleqtion is hiring a Facilities Office & Procurement Coordinator for our new Quantum Innovation Center in Chicago office.
This person will support the day-to-day workplace experience for our Chicago team while also providing support for procurement activities across the U.S. organization. The role combines office operations, employee support, vendor coordination, purchasing administration, and documentation management.
We are looking for someone who is highly organized, service-oriented, and comfortable managing a broad range of responsibilities. This person will serve as a key point of coordination across office operations, procurement, vendors, IT, HR, and administration, helping ensure the office runs smoothly while supporting U.S. procurement processes.
This is an in-office role, five days a week, based in Chicago, with reasonable flexibility for personal appointments when needed.
Responsibilities
• Support day-to-day office and workplace operations in our Chicago office
• Serve as a front-facing point of contact for employees, guests, and vendors
• Help create a professional, organized, and welcoming office environment
• Coordinate office supplies, snacks, beverages, catering, and lunch orders
• Manage conference rooms, common areas, and general workplace readiness
• Coordinate with building management, vendors, and service providers on office-related needs
• Support employee visits, meetings, and occasional external events
• Partner closely with IT, HR, and Administration on onboarding support, workplace communications, and employee experience initiatives
• Track office-related requests and follow issues through to resolution
• Support workplace safety, office readiness, and general office presentation
• Support procurement and purchasing administration for U.S. operations
• Create and maintain purchase orders and procurement documentation
• Support vendor onboarding and documentation collection
• Maintain procurement records in accordance with company policies and SOX requirements
• Coordinate purchasing approvals and administrative workflows with internal stakeholders
• Ensure procurement documentation is complete, accurate, and properly maintained
• Support other administrative and operational projects as needed

We are looking for someone who is positive, highly organized, detail-oriented, and dependable. This person should be comfortable juggling multiple responsibilities, working across teams, coordinating with vendors, and handling both planned work and unexpected issues with professionalism and good judgment.
The right person will create a workplace that feels organized, welcoming, and well run while also maintaining accurate procurement documentation and administrative processes. They should have a strong service mindset, excellent communication skills, and the ability to follow through on details and deadlines.
Success in this role will come from taking ownership, maintaining strong organization, providing excellent internal customer service, and ensuring office and procurement processes operate smoothly and consistently.
• 5+ years of experience in facilities management, office coordination, workplace operations, administration, procurement support, executive support, or a similar operational role
• Experience working in a professional office environment
• Experience supporting purchasing, procurement, vendor management, office operations, or related administrative processes
• Strong organizational skills and attention to detail
• Strong verbal and written communication skills
• Strong customer-service instincts and professional presence
• Proficiency with Microsoft Office, including Outlook, Word, and Excel, and comfort learning new systems and tools
• Ability to manage multiple priorities and follow tasks through to completion
• Ability to maintain accurate records and documentation
• Ability to work effectively with internal stakeholders, vendors, and service providers
• Ability and comfort lifting and moving office supplies up to 25 pounds as needed
• Ability to work on site full time in Chicago, Illinois
Strongly Preferred
• Experience supporting procurement, purchasing, vendor onboarding, or related administrative processes
• Experience maintaining documentation in a SOX-controlled or compliance-focused environment
• Experience working with procurement, purchasing, ERP, or vendor management systems
• Experience partnering with IT, HR, Operations, or administrative teams
• Experience supporting office events, employee visits, or workplace activities
• Experience in a fast-moving or growing company environment
- Salary range: $70,000 to $95,000
